Front Desk Reception/Administrative Assistant

Job Description

Successful candidates must be detail-oriented with excellent organizational and communication skills. Candidate will also have proven ability to successfully handle multiple tasks, and working knowledge of computers. This position requires strong interpersonal and organizational skills, with the ability to juggle multiple priorities and deadlines in a fast-paced front desk environment. The successful candidate will be responsible for coordinating and executing daily operations at the front desk and serve as primary interface between the clients and employees. He or she must have the ability and willingness to work in a collaborative team environment and will have regular contact with customers. Work will include a wide variety of tasks, including, but not limited to:

  • Handling customer calls and in person walk-ins
  • Interfacing with a variety of homeowners and employees
  • Coordinating with back office support personnel (admin team) and Management
  • Administrative functions like coordinating schedules, updating information, performing file transfers, and preparing mailings
  • Completing projects and special assignments by establishing objectives, determining priorities, and managing time
  • Improving quality by following processes and implementing changes
  • Problem solving, monitoring progress, and making adjustments to plans
  • Maintaining office supplies inventory
  • Transitioning from front desk to working with the admin support team

Qualifications

Basic Qualifications:

  • High School degree + 1 or more years of experience in an administrative role or:
  • General knowledge of office phone systems and procedures.
  • High level knowledge of MS Office
  • Excellent customer service skills
  • Solid verbal and written communications skills and exemplary knowledge of English grammar, spelling, and punctuation
  • Organized and flexible with exemplary planning and time management skills
  • Accountable and able to multitask and prioritize daily workload
  • Excellent interpersonal skills
  • Adaptable team player

Desired Skills:

  • Experience providing administrative support and/or front desk reception
